Privacy and retention
How Table Wizards for Simio uses your data.
Notice version: 16 October 2026. Controller: Simulation Helpdesk OÜ, Estonia, registry code 14766183. Contact: support@simulationhelpdesk.com.
Trial, license and support data
Your full name, email address and optional company / organization are needed to verify your request, deliver your trial key and installer link, recover an existing key and answer support requests. Verification and trial-license emails are in English. We record your product plan, language, request source, consent choices and timestamps, and verification and email-delivery status.
Professional purchase records include your verified full name and email, individual or business choice, company / organization (required for business purchases, optional for individuals), and optional position and phone number for customer contact and support. Stripe collects billing address and applicable tax information. We keep person and company details separate. A necessary, signed HttpOnly browser cookie lets you reuse a verified account for up to 24 hours without a password; it contains an opaque profile reference, not your name or email. Email verification alone does not grant a paid license. Changes to name or email require verification again; business details can be updated while the verified account is valid.
First activation records a computer identifier and computer name, license status, activation time and expiry. A new trial lasts 7 days from first activation, with one trial per computer. Previously issued keys keep their originally granted term. A new email request does not restart it. Computer identifiers and their hashes remain personal data; hashing does not make them anonymous.
Access and delivery events help us troubleshoot the service and measure requests, verification, downloads, activation and expiry. Request limits help prevent abuse. License and payment references support delivery, renewal, support and accounting. A purchase is recorded separately from conversion confirmed by a paid activation on the same computer as a trial. Table Wizards for Simio records are separate from SimWizard AI account and credit records.
Marketing is optional
The required verification-email choice covers service emails needed for a trial or purchase. The separate marketing choice is optional and is not required for a trial or purchase. Choosing marketing allows occasional Simio workflow tips and product updates. To withdraw consent or object to marketing, email support. Marketing must stop on withdrawal or objection; only necessary consent or suppression evidence may be retained with a documented purpose and review.
Retention and deletion
The periods below are our operating policy. Cleanup processes eligible records in bounded batches; deletion can take additional runs when there is a backlog. Where automated cleanup is unavailable, support reviews deletion manually. Live verification links, active access and legal obligations can require longer retention. Trial expiry and deletion are separate.
- Unverified requests
- 7 days from the latest request, excluding live verification links and requests already linked to a verified email, license or purchase.
- Expired key-recovery requests
- 7 days after expiry. Live recovery links are preserved.
- Request-limit records
- 48 hours from the start of the limit window, once protection is no longer active.
- Detailed access and delivery events
- 90 days, then removal of detailed events with only product-wide event counts retained. These counts contain no email, license key, computer identifier, date, language or acquisition source.
- Trial and support details
- Manual review for erasure 90 days after trial expiry. License and computer eligibility records are not automatically deleted, because that could allow repeat trials. We assess necessity, minimization and your rights request before retaining or removing these records; a computer identifier is not treated as anonymous.
- Paid license and support details
- Manual review when service ends, with an operating period of active service plus 12 months. Accounting obligations, documented claims or legal holds and necessary records preventing duplicate payment processing may require longer retention.
- Marketing contacts
- Manual review or removal after 24 months without meaningful engagement. Withdrawal or objection stops marketing; necessary suppression evidence is kept separately from promotional use.
- Accounting source records
- 7 years from the end of the relevant financial year, separately from marketing use.
- Backups
- Cloudflare D1 recovery history is plan-dependent: its published window is up to 7 days on the Free plan or 30 days on the Paid plan. This is not a promise that all providers delete copies within that time. After restoration we reapply erasure before returning restored data to service.
Service providers and safeguards
Table Wizards for Simio uses Cloudflare for hosting, new trial and purchased-license records, activation and installer delivery; Stripe for subscription payments; and Resend for transactional email delivery. Existing legacy licenses continue to use Firebase for activation, validation and removal from a computer, so existing customers can keep using their licenses. Stripe handles payment-card information; Table Wizards for Simio does not store card numbers.
These providers publish data-processing terms and transfer safeguards: Cloudflare, Stripe and Resend. Their services and subprocessors may process data outside the EEA. Applicable contractual safeguards, including standard contractual clauses where required, must cover those transfers. Stripe also processes certain payment data as an independent controller under its own legal obligations.
Trial, purchase-email verification, key-recovery and billing-access forms use Google reCAPTCHA to help prevent automated requests. When the security check loads, your browser connects to Google and the service verifies the response with Google. Google's Privacy Policy and Terms of Service apply. This security check is separate from optional marketing consent. Billing access requires email verification through a short-lived, single-use link; expired access requests are removed by bounded cleanup.
Deleting a Table Wizards for Simio database record does not automatically delete provider copies of sent emails, service logs or payment records. Support assesses necessary provider deletion requests and legal exceptions as part of a verified erasure request. Contact us for information about the arrangements applicable to your data.
Purposes and legal bases
The required verification choice acknowledges requested service emails; it is separate from optional marketing consent. We separate service administration, marketing, security and measurement purposes below.
- Requested trial and license administration
- GDPR Article 6(1)(b): steps you request before entering a contract, or performance of the contract, limited to necessary verification, key delivery, activation, recovery and support.
- Paid license administration
- Article 6(1)(b): necessary paid-license delivery, renewal and support.
- Optional marketing
- Article 6(1)(a): your separate affirmative consent. Withdrawal must stop marketing without removing trial access.
- Accounting records
- Article 6(1)(c): the specific applicable legal obligation, limited to the required accounting records.
- Abuse prevention and one-trial eligibility
- Article 6(1)(f): our interest in preventing repeat trials and protecting service availability, subject to necessity, minimization and your right to object. This does not justify indefinite retention of all license details.
- Conversion measurement
- We use service events to measure requests and activation. Computer-matched purchase measurement is separate from providing access and is subject to necessity and balancing under Article 6(1)(f), or consent where required. Long-term detailed events are replaced with anonymous product-wide counts. You can object to identified measurement by contacting support.
Questions and data requests
Contact support@simulationhelpdesk.com to request access, correction, deletion or restriction, ask about portability, withdraw marketing consent or raise an objection. Identify your Table Wizards for Simio email address and the request; do not send a license key or computer identifier unless support asks for it through an appropriate channel.
We may need to verify identity before acting. A deletion request will be assessed against current access, accounting obligations and justified security needs. You can also raise a complaint with your applicable data-protection supervisory authority.
Support verifies identity proportionately through an existing verified contact channel; identity documents are not routinely requested. We respond without undue delay, ordinarily within one month. If a permitted extension of up to two further months is necessary because of complexity or number of requests, we explain it within the first month. If we cannot comply, we explain the reason and your complaint options.
For installation, activation or email-delivery questions, use the Table Wizards for Simio support instructions.
